Office & Admin Manager

Due to further development of one of our clients, a major international company, we are looking for Office & Admin Manager with English who will support a wide range of administrative services for the team by providing office and facilities management and administrative support to various stakeholders.

Main responsibilities:
 
  • Responsible for managing admin functions of the facility 
  • Office & Facility Management that includes providing a clean office space, optimum usage of office space for daily operations adhering to all necessary compliance and guidelines
  • Monitor the Vendor Management and Procurement process, Vendor Contract Management
  • Manage all Admin and Facility related contracts such as Annual Maintenance Contract, lease, etc. 
  • Maintain Health Safety Standards
  • Coordination with property manager to ensure compliance of building discipline
  • Act as a main point of contact to Building Management and Security
  • Implementation of ISO Standards
  • Managing internal and external audits(ISO & Client Audits) and maintain documentation
  • Asset and Inventory management
  • Lease car and fleet management including supplier relationship and invoice management 
  • Mobile Fleet Management – Managing inventory of company Mobile phones, providing new connections as and when required, coordinate with vendor and ensure timely invoice payments
  • Preparation of annual and quarterly budget of the location
  • Monitor budget utilization and invoice payment and Expense reporting process
  • Managing timely vendor payments and invoice processing


Main Requirements:
 
  • Bachelor’s degree
  • Fluent English 
  • 5 years working experience in similar Administrative function 
  • Strong computer skills & Office 365
  • Strong communication, interpersonal, and writing skills
  • Organizational and planning skills
  • Proactive, self-motivated
  • Flexibility and adaptability 
  • Strong ability and willingness to multitask
  • Technical knowledge of Facility
